We are registered with the Information Commissioners Office as a Data Controller. Our reference number is A8342969. We are committed to maintaining the privacy of all of our clients and supporters and ensuring transparency on how your data is collected, processed and kept. We are classed as a ‘data controller’ under the General Data Protection Regulation 2018, meaning we are responsible for collecting, processing and keeping your data.

What data do we collect?

We collect personal information such as your name, date of birth, email address, postal address and telephone number, bank details (if you are paying for sessions/room hire or working for us) as well as any other information you provide in any communications between us. You will have provided this information whilst contacting us, making a donation, registering for a fundraiser, volunteering or working for us or in any other communication with us.

We may also collect some more sensitive information during your time with us; for example your medical history, personal history, sexual orientation or other personal information that is classed as sensitive. This information is only used for dealing with your enquiry, as session records by your counsellor and at supervision sessions for your counsellor. Most of this data is kept anonymously and is not passed on except in exceptional circumstances, for example when there is a serious risk of harm to yourself or others.

We also ask for an anonymous testimonial and some questions to be answered about your time with us when you finish. Occasionally we may publish these anonymous testimonials for our media or fundraising purposes. This is entirely optional and we ask for your express consent for your testimonial to be published.

How do we collect and store your data?

We collect data in different ways. We collect it when you communicate with us, when you attend your sessions, provide feedback or sign up to our mailing list or a fundraiser.

All of our data is reviewed regularly and unnecessary data is destroyed. All data kept in an electronic format is password protected, and any data kept in paper format is kept in securely locked cabinets.

Additionally, most sensitive data is kept anonymously and all in securely locked cabinets. All sensitive data collected via email is password protected and reviewed and deleted bi-annually.

How long do we keep data for?

We only keep data for as long as is necessary. We keep most data for seven years, after this time it is destroyed.

All data collected through our email is deleted bi-annually.

Do we share your data?

We do not share your data with any third parties except in very limited circumstances, for example if we are legally obliged to do so.

Our counsellors are required to have supervision sessions where they review and evaluate their work with another experienced counsellor. These sessions are confidential and all client information is anonymous.

Occasionally, we will have to share data. If we think that you or another person is at risk of serious harm we are legally obliged to alert the relevant authorities. Another example may be that a social worker or a court may ask us to provide some information with regards to an on-going case.

We will never rent or share your personal information to third parties, and we do not transfer any data outside of the EU.

Marketing

We will only contact you with our newsletters or fundraising information if you have signed up to our mailing list. You can opt out of this mailing list at any time by clicking unsubscribe.

• You can opt out of any of our mailing lists at any time.

• If you believe we have made any mistakes, then you can ask us to rectify them.
